Archiving and Consular Support Officer
Job Description
The Embassy of Jordan in Japan
is seeking a full-time Administrative Staff member to support its Archiving
Unit and Consular Section. The selected candidate will be responsible for
maintaining and organizing the Embassy's official correspondence and
documentation, both physical and electronic. The role also includes supporting
consular operations and assisting Embassy diplomats in daily administrative and
logistical tasks.
The ideal candidate should be
highly organized, detail-oriented, and able to work with accuracy and
discretion in a fast-paced environment.

- Maintain and organize the Embassy's incoming and
outgoing correspondence
- Prepare,
type, print, and file official documents and cables in both Arabic and
English
- Manage
physical and digital archiving systems, ensuring easy retrieval of
information
- Organize
the Embassy's mail flow and maintain orderly document storage
- Support
diplomats in retrieving background information and preparing reports
- Assist
with workflow management and document tracking across departments
- Learn
and apply consular procedures, systems, and regulations
- Provide
support to the Consular Section as needed
- Perform
other administrative and clerical tasks as assigned by Embassy
Requirements
- Proficiency
in Arabic and English (spoken and written)
- Strong
organizational and time management skills
- High
attention to detail and accuracy in document handling
- Good
knowledge of Microsoft Office applications (Word, Excel, Outlook)
- Familiarity
with filing and archiving best practices (physical and digital)
- Wilingness
to learn consular regulations and procedures
• Ability to work in a multicultural and
diplomatic environment
Previous experience in
administrative or clerical roles is an asset
" Japanese language
proficiency is an advantage but not required
